Booking, Cancellation & Refund Policy

This Booking, Cancellation & Refund Policy forms an integral part of the Terms & Conditions of ThaiViet Holidays Private Limited ("ThaiViet Holidays", "Company", "we", "our", or "us").
By confirming a booking with us, you acknowledge and agree to the terms outlined below.
1. Booking Policy
A booking shall be considered confirmed only when:
- The required booking amount or deposit has been received.
- Required traveler details have been submitted.
- Written booking confirmation has been issued by ThaiViet Holidays.
All bookings remain subject to availability and confirmation from hotels, airlines, cruise operators, transportation providers, and other travel suppliers.
2. Payment Policy
Unless otherwise specified in writing:
Domestic & International Packages
- Booking Deposit: Minimum 25% to 50% of total package cost.
- Balance Payment: Must be completed before travel commencement as specified in the booking confirmation.
Luxury, Group & Customized Travel
Certain bookings may require:
- Higher deposits
- Non-refundable advance payments
- Full advance payment
depending on supplier policies.
Failure to make payments by the specified due dates may result in automatic cancellation of the booking.
3. Cancellation by the Traveler
All cancellation requests must be submitted in writing via email.
The date on which the cancellation request is received shall be considered the cancellation date.
Cancellation charges may vary depending on supplier policies and destination requirements.
Standard Cancellation Charges
- More than 45 days before departure: Deposit amount or actual supplier cancellation charges, whichever is higher.
- 31–45 days before departure: Up to 50% of total package cost.
- 15–30 days before departure: Up to 75% of total package cost.
- 14 days or less before departure: Up to 100% of total package cost.
- No Show: 100% cancellation charges apply.
Actual cancellation charges imposed by airlines, hotels, cruises, visa providers, or other suppliers shall be applicable in addition to the above.
4. Non-Refundable Services
The following may be wholly or partially non-refundable:
- Visa fees
- Travel insurance premiums
- Airline tickets
- Cruise bookings
- Event tickets
- Attraction tickets
- Adult entertainment tickets
- Theme park tickets
- Yacht charter deposits
- Service charges
- Processing fees
- Convenience fees
Where suppliers designate services as non-refundable, no refund shall be payable.
5. Amendments & Rescheduling
Requests for changes after confirmation shall be subject to:
- Supplier approval
- Availability
- Applicable amendment charges
Changes may include:
- Travel dates
- Hotel category
- Flight schedules
- Traveler names
- Activity modifications
ThaiViet Holidays does not guarantee that requested amendments can be accommodated.
6. Refund Policy
Eligible refunds shall be processed only after:
- Receipt of refund from relevant suppliers.
- Deduction of applicable cancellation charges.
- Deduction of service fees and processing charges.
Refund processing timelines may vary depending on suppliers, banks, payment gateways, and financial institutions.
Typical refund timelines:
- Credit/Debit Cards: 7–30 business days
- Bank Transfers: 7–21 business days
- International Transactions: Subject to banking processes
Refunds shall be issued using the original payment method wherever possible.
7. Flight Cancellations & Airline Refunds
Airline tickets are governed entirely by the respective airline's fare rules.
ThaiViet Holidays acts solely as an intermediary.
Refund eligibility, cancellation charges, schedule changes, and credit policies shall be determined by the airline.
The Company shall not be liable for airline decisions regarding refunds.
8. Hotel Cancellations
Hotel cancellations are subject to the individual cancellation policies of the booked property.
Certain promotional, discounted, festive, event-based, and peak-season bookings may be completely non-refundable.
9. Visa Refusals
Visa fees, processing charges, documentation charges, and related expenses are non-refundable irrespective of visa approval or refusal.
Visa approval remains solely at the discretion of the issuing embassy, consulate, or government authority.
ThaiViet Holidays shall not be responsible for losses arising from visa refusal or delayed visa processing.
10. Force Majeure
No refunds shall be guaranteed for disruptions arising from circumstances beyond our reasonable control, including:
- Natural disasters
- Floods
- Earthquakes
- Epidemics
- Pandemics
- War
- Civil disturbances
- Government restrictions
- Political instability
- Airport closures
- Airline disruptions
- Extreme weather conditions
Refunds, credits, or future travel adjustments shall remain subject to supplier policies.
11. Unused Services
No refunds shall be provided for:
- Missed flights
- Late arrivals
- Early departures
- Unused hotel nights
- Missed tours
- Missed transfers
- Unused meals
- Unused activities
unless specifically approved by the supplier.
12. Special Events & Peak Season Bookings
Bookings made during:
- New Year periods
- Festivals
- Long weekends
- Concerts
- Sporting events
- Exhibitions
- Peak travel seasons
may be subject to stricter cancellation policies and higher non-refundable components.
Such terms shall be communicated at the time of booking where applicable.
13. Company-Initiated Cancellations
In the unlikely event that ThaiViet Holidays must cancel a confirmed package due to operational reasons, travelers may be offered:
- An alternative package
- Travel credit
- Refund of recoverable amounts
The Company's liability shall be limited to the amount paid for the affected booking.
